How It Works

The five stages that every matter follows, and what you receive at the end of each one.

The process

From first question to recorded deadline

Each stage closes before the next begins, and each one is confirmed in writing.

  1. Discovery conversation

    A short call or written exchange to establish what you hold, what you are trying to protect and which deadlines are already running. No documents are needed for this stage, and no fee is charged for it.

  2. Written scope and indicative fee

    We set out in writing exactly what will be prepared, which stages are involved, what we need from you and the indicative fee for each stage. Work starts only once you have confirmed the scope in writing.

  3. Document and information preparation

    You receive a checklist of the documents, drawings, dates and ownership details required for your matter. We review what you send and tell you what is missing before anything is submitted.

  4. Application and administration

    Where an application, recordal or transfer is involved, we prepare the paperwork, explain the fee structure charged by the relevant office, and handle the administrative correspondence with you copied in throughout.

  5. Status reporting and reminders

    You receive a written status summary at the end of each stage. Where a registration, renewal or response deadline falls in the future, it is added to your record and a reminder is issued in advance.

Four written documents per matter

The paperwork we produce is deliberately repetitive: the same four documents, refreshed at each stage, so nothing depends on memory.

Written scope

The stages involved, what we will prepare, what we need from you, the indicative fee for each stage and any official fee expected.

Preparation checklist

A list of the documents, drawings, dates and ownership details your matter requires, reviewed against what you send us.

Status summary

A written record at the close of each stage covering what was prepared, what was filed or recorded and what the office charged.

Deadline schedule

Every renewal, response and examination date recorded against your matter, with advance reminders issued before each one falls due.

Timing

Which parts you control, and which parts you do not

Preparation, review and filing administration are within our control and are usually measured in days or a few weeks of working time, depending on the complexity of the matter and how quickly documents are returned to us.

Examination, publication, opposition windows and registration are controlled by the relevant office and commonly run into months. We cannot shorten those periods and we do not pretend otherwise. What we can do is make sure nothing is lost or delayed on the administrative side while the office has your file.

  • A written timetable for our stages is issued with the scope
  • Office timelines are monitored and reported as they move
  • Any change to a deadline is communicated in writing
  • Advance reminders are issued for every date on your record

Whether a right is granted or registered is decided by the relevant office. What we control is the quality and completeness of the documentation and the administration around it.
